We are seeking an organized and self-motivated Office Administrator who will be responsible for providing administrative support to our sales, marketing, and production personnel at our Pottstown PA office. The Office Administrator's role will also include working with insurance carriers, local municipalities, vendors, subcontractors, and company leadership to effectively facilitate our sales and production process.

To be successful in this position you should be detail-oriented, professional, and have excellent written and verbal communication skills.

As Office Administrator, your responsibilities will include:

  • Answering incoming phone calls, responding to emails, and preparing documents
  • Supporting sales team by providing general administrative support and validating job files
  • Assisting production team with project scheduling, subcontractor and vendor management
  • Onboarding new employees and maintaining employment information
  • Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and accounts payable
  • Maintaining general office files related to the company's operations
  • Purchasing office supplies, sales materials, equipment, and furniture
  • Overseeing the maintenance of office facilities, equipment, and fleet vehicles
  • Welcoming office visitors and directing them to the relevant office/personnel
  • Performing other relevant duties when needed

Our ideal Office Administrator will have the following attributes:

  • High school diploma or a Bachelor's degree in business, administration, or a related field
  • 2 or more years' office administration experience
  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook)
  • Multi-tasking and time-management skills, with the ability to prioritize tasks
  • Familiarity with office management procedures and basic accounting principles
  • Customer service mindset
