Were looking for an Assistant to join our team in East Williamsburg/Bushwick. This role is responsible for providing administrative support to the general office as well as the People Operations Department. Our ideal candidate is someone who wants to get their start in People Operations and who is organized, empathetic and brings a positive attitude.

People Operations Responsibilities

* Act as initial point of contact for any employee questions and directs questions to appropriate team members
* Maintain accurate and up-to-date employee files
* Perform periodic audits of files and records
* Scheduling interviews
* Complete verification of employment by preparing letters
* Assist with employee onboarding, sending new hire paperwork, sending welcome emails
* Maintain a high degree of confidentiality and discretion
* Generate reports from systems and support data analysis activities
* Collaborate with the People Operations team on company events, internal communication, and other forms of team building activities
* Provide administrative support to the rest of the People Operations team

Office Responsibilities

* Cover Reception duties as needed
* Sort and distribute, file internal mail for processing
* Coordinate deliveries to/from the venue
* Support department purchasing and invoice processing
* Monitor office supplies inventory and place orders; order business cards
* Greet and assist visitors when they arrive at the office
* Assist with booking conference rooms, travel, expense reimbursements and tracking
* Assist with any ad hoc projects and initiatives


Desired Skills & Qualifications

* Bachelors degree required
* 1 year of relevant experience, preferably in a high-volume environment. Creative, music, hospitality industries preferred
* Strong organizational and time management skills
* High level of professionalism and discretion in working with confidential information
* Proficient user in Google Suite and Microsoft Office- specifically Excel/ Sheets. Able to work with formulas, pivot tables, V-lookups and related tasks
* Excellent verbal and written communication skills
* A no task too small mindset, open to learning new skills
