Job Description:

**Based in Houston, TX**

The Travel Coordinator is responsible for corporate travel, transportation and lodging requirements for all staff in accordance with corporate policies.



Responsible for booking and coordination of airline tickets, car rental, and hotels submitted via a travel request for all employees.

Manages the air and transportation booking process for relocations, home leaves, and expatriations.

Works with local realtors and property managers to provide temporary/permanent housing for relocations, home leaves, and expatriations.

Provides guidance to travelers and administrative assistants in regards to any travel related issue(s).

Plan itinerary for travel and accommodations using knowledge of routes, types of carriers and regulations.

Liaison with hotel and car rental vendors to ensure proper payment authorizations.

Answer inquiries regarding fares, availability of travel, and accommodations.

Responsible for the processing and handling of documentation for travel logs/monthly department reporting.

Maintain spreadsheets for tracking of housing, business travel, vacation, long term company cars, handle all issues related to vehicle maintenance.

Handle accident reports and work with insurance carriers on claims processing.

Handle all yearly travel for Offshore Technology conferences as well as work with hotels to reserve room, schedule flights, and airport transfers for conferences.

Handle expense report verifications for offshore and corporate personnel to ensure proper submission of payments.

Review vendor proforma invoices and check for accuracy. Issue work order and/or service entry. Provide final invoice with backup to Accounting for payment.



As Defined per Company Authority Matrix or department managers discretion.


Computer hardware and software assigned.

Personnel Supervised:




High School Diploma. Bachelor's degree preferred.


Minimum 5 years travel related experience.

Special Skills/Knowledge:

Must be highly organized with excellent communication skills (verbal and written) and must be able to communicate with all levels of employees with a superior level of professionalism. Must have a high level of detail with the ability to thrive in changing environments and the flexibility for frequently changing priorities. Must work well under pressure and able to multi-task. Should be willing to work during off-hours, occasionally. Proficient in Microsoft Office, Demonstrate broad knowledge of the functional area. Exercise independent judgment.
